Getting started

What is EnsembleHub?

EnsembleHub is a rehearsal app for choirs and small ensembles. It keeps the next rehearsal, preparation notes, and materials together so ensemble members arrive better prepared.

What is a rehearsal page?

A rehearsal page is the shared space for one ensemble or project. It shows the next rehearsal, what ensemble members should prepare, and the materials they need.

Who is EnsembleHub for?

It is built for organizers, conductors, section leaders, and ensemble coordinators who want to save rehearsal time and get ensemble members prepared before they arrive.

How do I get started?

In setup you create your first rehearsal page, add the next rehearsal and the preparation, and share the link with your ensemble. Everything is ready in a few minutes.

How does the demo work?

The demo is a static preview of a rehearsal page. It does not create a temporary ensemble, account, or rehearsal page. The real live flow starts in setup.

Does EnsembleHub have a chat feature?

No, by design. EnsembleHub replaces chat noise with one clear rehearsal page and works alongside the communication channels your ensemble already uses (such as WhatsApp or email), keeping the focus on rehearsal preparation.

Members & access

Do ensemble members need an account and password?

No. Ensemble members open the rehearsal page through an invite link, without a heavy sign-up flow or their own password.

How do members return to the page?

A returning-access link lets members reopen the rehearsal page without creating an account. Sharing one link is enough.

Who can change the rehearsal content?

The organizer manages the content of the rehearsal page. Members view the preparation and materials; they do not edit the page itself.

Troubleshooting

I didn't receive a sign-in or invite email.

First check your spam or junk folder and add noreply@ensemblehub.nl to your contacts. Then request a new link yourself via 'Sign in' (enter your email address), or ask the organizer to resend your sign-in link.

My sign-in link no longer works or has expired.

Sign-in links are valid for 30 days and can be used more than once. If it stops working, request a new one via 'Sign in' with your email address — the newest link replaces the older ones.

I don't remember which email address I was invited with.

Use the address where you received the invite. Not sure? Ask your organizer: they can see the member list and send you a sign-in link.

I don't remember which ensemble I belong to.

Go to 'Sign in' and enter your email address. You'll get one link to all your ensembles, where you can pick the right one.

The security check (verification) won't pass.

The verification protects the form from abuse. Temporarily disable a strict privacy or ad-blocker extension, or try another browser, and reload the page.

I land on an error page saying the link is invalid or expired.

That page has a 'Sign in with your email' option. Enter your email address and you'll get a new, working link right away.

I have several ensembles but only see one.

Use the ensemble switcher at the top of the page, or reopen your sign-in link — it takes you to the overview of all your ensembles.

The page won't load or keeps hanging.

Refresh the page, check your internet connection, and make sure cookies are enabled (the app uses one essential session cookie). If that doesn't help, try another browser or a private window.

A member can't sign in — what can I do as an organizer?

Go to the Members page and click 'Send sign-in link' for that member. You can also copy the shareable return text and post it in your own app or mail group so members can always find the page again.

My email address has changed.

Your email address is your sign-in identity. Ask the organizer to re-invite you at your new address.

I can't use a feature (for example export or co-organizers).

Some features belong to a higher plan. Open your account to upgrade; there you'll see exactly what each plan adds.

My payment failed or my subscription expired.

Open your account and start the upgrade again. A paid plan stays active until the end of the paid period; after that you drop back to Free until the payment goes through.

Pricing & plans

What is included in the free Free plan?

Free covers one ensemble with up to 10 members, 3 active rehearsals, up to 5 materials per rehearsal, and up to 3 preparation items.

What do I get with Standard?

Standard is EUR 14 per month for one ensemble and removes the limits: unlimited members, rehearsals, materials, and preparation items. It includes the engagement bundle: attendance insight, read receipts, and member reminders by email.

When does Pro make sense?

Pro is EUR 29 per month and is for running unlimited ensembles in one account. You get everything in Standard, plus co-organizers and export (PDF/CSV) — and one bill for all your ensembles.

How does the price work exactly?

You pay per ensemble, not per member. Free and Standard are each for one ensemble. Running multiple ensembles? Pro bundles them all for one fixed price.

Can I try it for free?

Yes. You try Standard free for 30 days, no credit card. After that you drop back to Free or continue on a paid plan.

Privacy & data

Which cookies does the public site use?

The public site uses a preference cookie, ensemblehub_locale, to remember your language choice. Signed-in app sessions use the essential ensemblehub_session cookie. We do not place marketing or analytics cookies.

Is the public site privacy-friendly?

Yes. The public site avoids third-party analytics, marketing pixels, and non-essential cookie banners by default.

What happens to my ensemble's data?

The rehearsal page is only meant for your ensemble. Data is not sold and is not used for third-party advertising.

Is material storage secure and GDPR-compliant?

Yes. Materials, including mp3 practice files, are stored on EU infrastructure (Hetzner, the Netherlands) under the GDPR. Downloads use signed, temporary links, so files are not openly shareable.

Is EnsembleHub a sheet music library?

No. EnsembleHub does not provide sheet music or repertoire itself. You only attach material you have the rights to, to your own rehearsals, visible to the invited members of your private ensemble.
